Job Summary

Reporting to the Community Relations Manager in the Office of College Relations, the Outreach and Engagement Program Manager plays a vital role in tracking and coordinating outreach efforts at the college to support strategic community engagement efforts at Portland Community College.

The Outreach and Engagement Program Manager should be passionate about community engagement, possess excellent interpersonal and organizational skills, and thrive in a program management role.

Position Scope

The Outreach and Engagement Program Manager is responsible for tracking and coordinating college-wide outreach activities, in collaboration with teams across the college. This position will work closely with community partners, College Relations, Admissions and Recruitment, Workforce Development, Student Services, and Academic Affairs to engage in opportunities that raise awareness and educate about PCC and the college’s programs.

Key Responsibilities and Essential Functions

Coordinate Outreach Events and Activities

  • Attend and assist in the planning and execution of outreach events/activities and serve as the central point of contact for coordinating outreach activities within the college community.
  • Collaborate with internal teams to track outreach opportunities and schedule college representatives.
  • Help develop and coordinate a college staff and student Ambassador Program to support community outreach activities
    • Train ambassadors on college programs, systems and processes to prepare them to represent PCC at outreach events, ensuring consistency and effectiveness in outreach approaches.
    • Coordinate event schedules and ambassador attendance.

Facilitate Communication/Engagement and Cross-Department Collaboration

  • Collaborate with college departments to track and share outreach opportunities and needs.
  • Facilitate effective communication between internal teams and external partners to streamline outreach efforts and maximize impact.
  • Foster and maintain relationships with college staff, and student organizations to ensure ongoing collaboration and support for college outreach initiatives.
  • Work with the Marketing and Communications Department on outreach materials.

Manage Outreach Database

  • Serve as point of contact for Customer Relationship Management (CRM) platform management. Assist with the implementation of the CRM platform and train and support internal stakeholders to ensure data is captured.
  • Develop and maintain systems to track outreach and engagement efforts across the college.
  • Utilize data and analytics to help College Relations assess the effectiveness of outreach initiatives.
  • Monitor and report on outreach activities within the college community, collect feedback and prepare reports to track progress.

Minimum Qualifications

  • Bachelor’s degree in communications, marketing, public relations, or a related field preferred. Relevant work experience will be considered in lieu of a degree.
  • Minimum one year experience coordinating outreach and/or community engagement activities.

Knowledge and Skills

  • Familiarity with using systems and databases to track outreach activities, manage contacts, and analyze data. Familiarity with Customer Relationship Management (CRM) software strongly preferred. Ability to utilize and learn new systems.
  • Skill in designing and developing systems and processes.
  • Excellent communication and interpersonal skills, with the ability to effectively engage with diverse groups of people.
  • Experience working with/training student populations and/or volunteers.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Knowledge of community resources and networks is a plus.
  • Passion for community relations, engagement and advocacy.

Work Environment and Physical Requirements

This job operates in a professional business office environment on a PCC campus, with frequent interruptions and irregularities in work schedule. While performing the duties of this job, the employee is regularly required to maintain a stationary position for long periods of time (sitting or standing); communicate with employees, partners, and stakeholders; and operate a computer to develop work products, communicate, and carry out responsibilities. Occasionally the employee is required to travel to other campuses to attend meetings, access items, and utilize equipment, and, rarely, move or transport items up to 10 pounds. Ability to provide own transportation to and from campuses and/or offsite functions may be required.
