Nature and Scope of Work
The Admissions Specialist is responsible for the marketing, advising, and admitting efforts for an assigned program(s). Services may include enrollment services, new student recruitment, community outreach, public information, and program specific promotional events.
Distinguishing Characteristics
This classification is distinguished from the Student Outreach and Orientation Coordinator in that incumbents in the Admissions Specialist classification have program specific admissions responsibilities whereas the Coordinator is responsible for all admissions activities for an assigned campus as well as district-wide marketing and recruiting activities. The Coordinator also has supervisory and office coordination responsibilities.
Principal Accountabilities (includes some or all of the following)
- Assists with the development and implementation of program specific marketing and recruitment strategies. Attends career fairs and health fairs to market and recruit for assigned program(s). Plans and coordinates informational workshops, college visitations and tours, business and industry visits, etc., to inform the public about educational opportunities within an assigned program. Creates and distributes brochures, promotional fliers, and related material.
- Coordinates program admissions services. Works with program(s) to interpret policies and to develop appropriate procedures for implementation. Reviews admissions forms, refers prospective students to placement testing or advising. Provides admissions counseling to prospective students. Coordinates with campus admissions office and central enrollment services to facilitate consistent delivery of admissions services. Participates in new student orientations.
- Provides general program advising to incoming students. Reviews transcripts and assists students in developing an educational plan. Maintains student files for specific college requirements including general education credits and competencies prior to graduation. Runs PCC transcripts and Asset Placement scores to assist in properly making correct admissions decisions. Participates in initial screening of applicants. May override placement based on evaluation and supporting documentation.
- May coordinate directed practice for participating programs. Recruits and secures work sites and placement of students. Processes paperwork, maintains contracts, and coordinates student insurance requirements. Makes on-site student visits.
- Maintains database for assigned programs. Tracks statistics, gathers data, and writes reports. Assists departments in developing, reviewing, and updating policies and procedures relating to admissions based on past processes and student success rates.
- Works with other state colleges and universities in the exchange of academic information. Assists students with identifying transferable classes and works with program directors as needed to develop informal articulation agreements.
- Assists students transitioning to four-year institutions with admissions, transfer requirements, financial aid, etc.
- Provides office coordination responsibilities. Works with office support staff in coordinating all clerical and student help. Oversees day-to-day issues.
- Performs other related duties as assigned.
Work Environment
Work is typically performed in an office environment with a high level of public contact, both over the phone and in person. During peak registration periods incumbents will typically work extended hours, including some weekends. This position requires travel within the community and PCC campuses using a personal vehicle.
Physical Requirements
Occasional lifting of large quantities of recruiting materials and display equipment that may weigh 30-50 pounds required. During peak recruiting seasons requires long hours of standing on cement or gym floors.
Minimum Qualifications
Bachelor’s degree in healthcare-related field, student services, or other related field. Experience performing the duties of this job may substitute for the degree requirement on a year-for-year basis.
Demonstrated experience in a healthcare environment or program related environment. Experience in customer oriented or student centered experience advising preferably in an academic environment. Experience in public speaking, educational marketing and recruitment. Strong organizational skills with experience in program coordination and/or office management.
